My Proper Home Limited ("we," "our," or "us") is the data controller for personal data processed through the My Proper Home app and the website at myproperhome.com (together, the "Services"). This notice sets out your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, and how to exercise them.
1. Your rights at a glance
You have the following rights in relation to the personal data we hold about you. Most are exercisable free of charge, and we will respond within one calendar month of receiving a verified request.
- Right to be informed. You can ask what data we hold about you and why; our Privacy Policy covers the standing answer.
- Right of access. You can request a copy of the personal data we hold about you (a "subject access request" or DSAR).
- Right to rectification. If any of your personal data is inaccurate or incomplete, you can ask us to correct it.
- Right to erasure. Also known as the "right to be forgotten." You can ask us to delete your personal data where we no longer have a lawful basis to hold it.
- Right to restrict processing. You can ask us to pause processing of your data while a complaint or correction is being resolved.
- Right to data portability. You can ask for a copy of the personal data you have provided to us, in a structured, commonly-used, machine-readable format (CSV or JSON).
- Right to object. You can object to processing based on legitimate interests, and to any direct marketing.
- Rights related to automated decision-making. We do not currently make any decisions about you using solely automated processing or profiling. If that ever changes, you will have the right to request human review.
2. Legal bases we rely on
Under UK GDPR Article 6, we process your personal data on the following bases:
- Performance of a contract. Most of our processing is necessary to provide the Services you signed up for — creating your account, holding your property and chain data, sending you notifications about activity on your listings, processing payments (where applicable).
- Consent. Where we send you marketing emails or use non-essential cookies, we ask for your consent first and you can withdraw it at any time.
- Legitimate interests. Some processing — fraud prevention, security logging, service-improvement analytics, and aggregate research — is carried out in our legitimate interests as a business, balanced against your rights and freedoms.
- Legal obligation. We may also process your data to comply with applicable UK law (e.g. responding to a court order or a request from a competent regulator).
3. How long we keep your data
We retain personal data only for as long as needed for the purpose it was collected. Indicative periods:
- Account data — for as long as your account is active, plus up to 12 months after closure so you can restore an accidentally-deleted account.
- Property listings, chain data, tasks — kept while your account is open and deleted with the account.
- Financial / transaction records — at least 6 years to comply with HMRC retention requirements.
- Server access logs — typically 90 days, longer if required for an ongoing security investigation.
- Marketing preferences and unsubscribes — kept indefinitely so we honour your choice if you ever sign up again.
4. Where your data is processed
We host the Services on Amazon Web Services (AWS) in the eu-west-2 (London) region. Personal data therefore normally stays inside the UK. Where any sub-processor (e.g. a third-party analytics or email service) processes data outside the UK, we rely on UK adequacy regulations or on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses to protect the transfer.
5. How to exercise your rights
Email privacy@myproperhome.com with the details of your request, the email address linked to your account, and (if it isn't obvious) which right you want to exercise. We may ask you to verify your identity before acting on a request — usually by replying from the email address on the account. We will respond within one calendar month of receiving the verified request, free of charge for the first request. We reserve the right to charge a reasonable fee or refuse if a request is manifestly unfounded or excessive, in line with Article 12(5) UK GDPR.

If you are unhappy with how we have handled your personal data, you can complain to the Information Commissioner's Office (ICO), the UK regulator for data protection. 7. Changes to this notice
We may update this notice to reflect changes to the law, the Services, or our processing activities. Material changes will be flagged via an in-app notification or email. The "Last updated" date at the top of this page always reflects the latest revision.
